Clio migration

Looking for a Clio alternative? Here is how the move actually runs.

Clio fits a lot of firms well. Firms start looking for an alternative when case volume, intake or document workflows outgrow what it was set up to do. If that is where you are, the risk is not the new platform; it is the move. This is how we run it.

What comes across

What moves from Clio, and how

Every item mapped to a real field on the new platform, or listed as dropped with a reason.

Matters and practice areas

Every matter with its history, custom fields mapped to real fields on the new platform.

Contacts and relationships

Clients, related contacts and their roles on each matter, duplicates resolved.

Calendar and tasks

Events, deadlines and task lists, still linked to the matter.

Notes and communications

Notes, call logs and logged emails in context.

Documents

Clio document folders moved with the tree intact, wherever they physically live.

Bills and trust

Invoices, payments and trust records preserved for the audit trail.

How we run it

Extract, map, load, prove

Nothing is frozen and nothing goes live on trust.

1

Extract and profile

We read the source, count everything and find what is dirty.

2

Map in writing

A field-by-field mapping your team approves before a single record moves.

3

Load to sandbox

You see your own data in the new system before production.

4

Cut over

Delta pass for anything new, reconciliation signed off, then go live.

Before the move

What usually needs cleanup in a Clio migration

Every Clio database carries years of habits. These are the ones we plan for on day one, so they do not surface on go-live day.

  • Custom fields added over the years with overlapping meanings
  • Contacts duplicated between Clio Grow and Clio Manage
  • Documents stored outside Clio (Google Drive, Dropbox, OneDrive) that matters point to
  • Calendar entries with no matter
  • Practice area setups that differ between offices
Where it lands

Filevine or Litify, with the folder tree intact

Micronetbd is a Filevine certified implementation partner and a Litify consultancy, so the destination is built by the same team that runs the move. Documents keep their folder tree, parties keep their roles, and the reconciliation report is signed off by your team before anyone goes live.

Questions

Clio migration questions

Is Filevine or Litify a better Clio alternative?

Both are case management platforms built for higher volume and more structured workflows; which one fits depends on practice area, intake volume and whether the firm wants Salesforce underneath (Litify) or a dedicated legal platform (Filevine). We implement both and will tell you on the first call.

How long does the migration take?

It depends on the size of the database, the document store and how much cleanup the profiling turns up. The written map comes first and the timeline goes in the fixed-scope quote with it, so you know both before anything moves.

Can the firm keep working during the move?

Yes. Nothing is frozen. We load the sandbox from a snapshot, your team tests on real records, and a delta pass at cutover brings across everything that changed in between.

What does the reconciliation report contain?

Source counts against destination counts, field by field and document by document, every exception listed with a reason, and spot checks against the source on real records. Your team signs it off before go-live and it is your audit trail afterwards.

What about Clio Grow intake data?

Leads, intake forms and pipeline stages come across into the intake objects of the destination, mapped so the reporting continues rather than restarting at zero.

After go-live

After the migration: somebody accountable for the new platform

A migration lands the data; the retainer keeps the platform working afterwards, with a named admin and a flat monthly fee: managed services, Filevine managed services, Litify managed services.
