Filevine managed services

A named Filevine administrator, a ticket queue, a flat monthly bill.

After go-live, Filevine keeps needing work: a new project type for a practice group, a deadline chain that changed with a court rule, a Vinesign template, Lead Docket routing, an integration that stopped syncing. Micronetbd runs that work on a flat monthly retainer with a named administrator who implements Filevine, backed by the team that migrates firms onto it.

What the retainer covers

Six things a Filevine org keeps needing

Project types and sections

New practice areas, section changes, custom fields and the phases your team actually works in.

Deadline chains and calendaring

Chains updated when a rule or a process changes, and reports on what is due and who owns it.

Documents and Vinesign

Document templates, generation from project data, Vinesign templates and the folder structure.

Lead Docket and intake routing

Intake questions, routing rules and the handoff from a lead into a project.

Integrations and MatterOrbit

Records retrieval, accounting, texting and calling integrations monitored, and MatterOrbit document sync with SharePoint, OneDrive or Google Drive where installed.

Users, permissions and training

Onboarding, permission changes, and refreshers when a process or a feature changes.

Response times

What turnaround looks like

The same priorities we run on every retainer.

RequestHow it is handled
Access and blocking issuesHandled the same business day
Configuration changesScheduled into the weekly plan
Larger enhancementsEstimated and put on the monthly backlog you prioritise
Platform releasesReviewed against your build before they land
Integration failuresMonitored, so they reach us before they reach your team
How it works

The same retainer we run for Salesforce, Litify and DocuSign CLM

One channel of record for requests, a weekly plan for configuration changes, a monthly backlog review where you set the priorities, and a change log kept in your org. Access and blocking issues are handled the same business day. Filevine releases are reviewed against your build before they land.

Three tiers by scope (Essential, Standard, Extended), described on the managed services page. Pricing is quoted on the call.

  • Named admin who knows your build, with a backup
  • Ticket queue with response times you can hold us to
  • Monthly enhancement time on the backlog you prioritise
  • We take over orgs we did not build, starting with an audit
  • Certified Filevine partner; migrations with a signed reconciliation report

Questions

Filevine managed services questions

What is included in Filevine managed services?

A named Filevine administrator with a backup on the same team, a ticket queue with response times, monitoring of integrations and MatterOrbit sync where installed, user training, a block of monthly enhancement time and release reviews, on one flat monthly subscription.

Do you take over a Filevine org someone else set up?

Yes. We start with an audit of the org as it stands, document what is there and tell you what we would fix first. The audit is useful even if you never hire us for the retainer.

How fast are requests handled?

Access and blocking issues the same business day; configuration changes scheduled into the weekly plan; larger enhancements estimated and put on the monthly backlog you prioritise.

Can the retainer cover Lead Docket, Vinesign and our integrations?

Yes. Lead Docket routing, Vinesign templates, records retrieval, accounting, texting and calling integrations are inside the retainer, and MatterOrbit document sync where it is installed.

How is it priced?

As a flat monthly subscription in one of three tiers by scope (Essential, Standard, Extended), quoted on the call against your org. Not hourly.

Is Micronetbd a certified Filevine partner?

Yes. Micronetbd is a certified Filevine partner that implements Filevine, migrates firms onto it and builds MatterOrbit, the Filevine document sync product.
